This privacy policy explains how UK Sports Nut Ltd (“Sports Nut”, “we”, “us”, “our”) collects, uses and protects your personal data when you use our website, book our services, or otherwise interact with us. We take your privacy seriously and are committed to protecting it in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
This policy applies to www.sports-nut.co.uk, our booking and membership platform at sports-nut.swimphony.io, and our enquiry portal at sportsnut.atlassian.net.
Who we are
UK Sports Nut Ltd is a company incorporated in England and Wales, registered number 10077917, whose registered office is at Mercury House, 19-21 Chapel Street, Marlow, Buckinghamshire, SL7 3HN.
For the purposes of UK GDPR, UK Sports Nut Ltd is the data controller for the personal data described in this policy.
What data we collect
Depending on how you interact with us, we may collect the following information:
- Your name and contact details (email address, telephone number, postal address)
- Your child’s name, date of birth and gender
- Your child’s relevant medical conditions or additional needs, where you choose to share these with us for safety purposes
- Your agreement to our Terms and Conditions, presented and agreed to during the booking process via Swimphony
- Your consent decisions regarding photography and videography of your child
- Your marketing preferences (email, text or post)
- Payment information, processed securely through our booking platform — we do not store full card details ourselves
- Technical information automatically collected when you visit our website, such as IP address, browser type, and pages visited
- Your agreement to share data with Godstowe Preparatory School, where this is relevant to your child’s enrolment at our Godstowe venue
- Your agreement to share data with Davenies School, where this is relevant to your child’s enrolment at our Davenies venue
How we use your data
We use your data to:
- Provide and manage your booking and your child’s swimming lessons
- Communicate with you about your bookings, sessions and any changes
- Maintain the safety and welfare of children in our care, including holding relevant medical information
- Send you service-related communications (such as term updates or crash course availability) where you have agreed to receive these
- Improve our services and website
- Meet our legal and safeguarding obligations
We will only use your data for marketing purposes where you have given us your consent to do so, and you can withdraw this consent at any time.
Who we share your data with
We do not sell your data. We may share your data with:
- Godstowe Preparatory School — where you have given specific consent, and where relevant to your child’s swimming lessons at our Godstowe venue
- Davenies School — where you have given specific consent, and where relevant to your child’s swimming lessons at our Davenies venue
- Swimphony — our booking, registration and lesson management platform
- Mailchimp — for sending email communications you have agreed to receive
- Atlassian (Jira Service Desk) — for managing enquiries and our waiting list
- Sign In App — used at our Davenies venue to record the name and phone number of swimmers and visitors for venue safety and emergency evacuation purposes
Each of these providers only processes your data to the extent needed to deliver the service we use them for, and is required to handle your data securely and in accordance with UK GDPR.
We will not share your data with any other third party unless required to do so by law, or to protect the safety of a child.
How long we keep your data
If you submit an enquiry but do not become a Sports Nut customer, we will keep your data for up to 12 months before securely deleting it.
If you become a Sports Nut customer, we will keep your data for up to 3 years after your child stops attending Sports Nut sessions, after which it will be securely deleted, unless we are required to keep it for longer for legal, safeguarding or insurance purposes.
You can ask us to delete your data sooner — see “Your rights” below.
Your rights
Under UK GDPR, you have the right to:
- Access — request a copy of the personal data we hold about you, free of charge in most cases
- Rectification — ask us to correct any inaccurate or incomplete data
- Erasure — ask us to delete your data, where there is no legal or safeguarding reason for us to keep it
- Restriction — ask us to limit how we use your data in certain circumstances
- Object — object to our use of your data for marketing or other purposes
- Withdraw consent — where we rely on your consent (such as for marketing or photography), withdraw that consent at any time

If you are unhappy with how we have handled your data, you have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
